Cancellation, refund and procedure to cancel a booking

Except otherwise stated, Flight Ticket, Hotels and Holidays or any product cancelled without due notice are subject to a cancellation fee according to the following scale:

Flight Ticket

NO REFUNDS will be considered in any circumstances whatsoever by Santamonica Tours & Travels Pvt. Ltd.if the Client has not purchased the “Trip Cancellation and Refund Guarantee Product” at the time of making the booking. Refunds by the Principals will be subject to their respective terms and conditions. Santamonica Tours & Travels Pvt. Ltd.will charge a fee for processing a request for refund. Principals may charge refund fees above those stated here. Once we have established the possible refund you are entitled to, we will request it with the airline or hotel on your behalf. For flight bookings the refund will be made by the airline directly to the account the booking was originally paid with. This can take 6 to 8 weeks depending on the airline. For hotel bookings, the supplier will refund Santamonica Tours & Travels Pvt. Ltd.and we’ll refund the credit card you used when making your reservation.This usually takes approximately 4 weeks.

Hotel bookings

Alternative Hotel Selection: At the times of booking, Santamonica Tours & Travels Pvt. Ltd.may not be able to provide the hotel of your choice. In such case our reservations will suggest alternative hotels matching your criteria of price and location.

Booking cancellation: Once the availability is been confirmed and the credit card is been charged, the cancellation policy will apply. In case of cancellation of the booking once it has been submitted to Santamonica Tours & Travels Pvt. Ltd., a cancellation charge of 5% of the Booking Value or a minimum of INR 1000 will apply. Any cancellation received within 45 days preceding the check in date of the client, he will be refunded completely, minus 5% of the total Booking Value or INR 1000 cancellation charges unless the hotel cancellation policy apply.

Amendment: The amendment of the booking depends on the policies of the hotel. You may send us the amendment anytime during the booking process or once the confirmation has been sent to you. The amendment of the booking will be forwarded to the respective hotel. If amendments results in a refund (reduction of stay, number of rooms, or number of people booked), a handling fee will be charged on the amount to be refunded equivalent to 5% or INR 1000, whichever is the greater amount, unless notified otherwise by email.

Extension of Stay: For the extensions of the stay at the hotel booked by Santamonica Tours & Travels Pvt. Ltd. , please contact our reservation staff and they will be glad to assist you. In case the extension is directly done with the hotel concerned instead of Santamonica Tours & Travels Pvt. Ltd.. We would not be held responsible for rates or payments in case of extension done with the hotel directly.

Early Check Outs: In case of shortening of the stay in the hotel booked by Santamonica Tours & Travels Pvt. Ltd., the hotel policy will apply. In case of refund of the unused nights it will be refunded back on the credit card only if intimated in writing to Santamonica Tours & Travels Pvt. Ltd. before checkout. In case of early check out Santamonica Tours & Travels Pvt. Ltd. and the hotel should notify before check out. In addition, a handling fee will be charged on the amount to be refunded equivalent to 5% or INR 1000, whichever is the greater amount, unless notified otherwise by email.

No Show Policy (Non arrival of the client on the date of check in): In case of a no show on the date of check in at the hotel booked by the client from Santamonica Tours & Travels Pvt. Ltd, 100% booking charges are applicable.

  • Short tours/excursions/products (with duration of one day or less) and not including overnight accommodation:
  • Cancellation more than 7 calendar days before the services begin: there is no cancellation fee.
  • Cancellation between 6 and 4 calendar days before the services begin: You will be charged a 50% cancellation fee.
  • Cancellation within 3 calendar days before the services begin: You will be charged a 100% cancellation fee (no refund).
  • Cancellation the day of the services or after: You will be charged a 100% cancellation fee (no refund).

Special request/Private tours/Group tours AND/OR Tours/excursions/products including flight ticket and/or overnight accommodation:

  • Cancellation more than 45 calendar days before the services begin: You will be charged 50% cancellation fee.
  • Cancellation between 44 to 15 calendar days before services begin: You will be charged 50% cancellation fee.
  • Cancellation within 15 calendar days before the services begin: You will be charged 100% cancellation fee (no refund).
  • Cancellation the day of the services or after: You will be charged a 100% cancellation fee (no refund).
  • Other cancellation terms (if applicable) will be mentioned on our confirmation letter/voucher.

Tours/excursions/packages/hotel accommodation commencing during a Special Event Period:

  • These are non-refundable in all circumstances. This includes, but is not limited to, Trade Fairs, Public or National Holidays, New Year’s, Thanksgiving, Christmas, Easter.
  • Please note that certain supplier/hotel apply more stringent cancellation fees, which might apply if relevant.
Procedure to cancel a booking:

Full cancellation of services previously confirmed by us must be followed by a confirmation of cancellation from us. Santamonica Tours & Travels Pvt. Ltd. will not be responsible for any cancellations not received and not confirmed back to you and might debit the relative cancellation or no-show charges.

Refunds:

Santamonica Tours & Travels Pvt. Ltd. is committed to provide an efficient refund procedure. Refunds will be done only through the Original Mode of Payment. Once the refund
instructions have been issued to our Merchant Bank, it can take anywhere from 15-45 working days for the proceeds to show in your account. Requests for refunds will have to be submitted in case of dispute within 14 days of the check In date. Refund requests received later than 14 (FOURTEEN) days cannot be honoured.

Logistics & Hospitality:

1. Bus Bookings:
a. Bus Seat Allocation: Bus seat allocation is subject to availability and will be assigned on a first-come, first-served basis or price variation basis, whichever is applicable to the travel.
b. Departure and Arrival Times: Departure and arrival times are approximate and may be subject to delays due to traffic conditions, weather, or other unforeseen circumstances.
c. Luggage Responsibility: Travelers are responsible for their own luggage. Santamonica Tours and Travels will not be liable for any loss, damage, or theft of personal belongings during the bus journey.

2. Cruise Bookings:
a. Cruise Itinerary: The cruise itinerary is subject to change due to weather conditions, port authorities, or other unforeseen circumstances. Santamonica Tours and Travels will inform travelers about any changes as soon as possible.
b. Onboard Facilities and Services: The cruise ship’s onboard facilities and services are provided by the cruise line and are subject to their terms and conditions. Santamonica Tours and Travels will not be held liable for any issues or dissatisfaction related to onboard services.
c. Travel Documentation: Travelers must ensure they have the necessary travel documents, such as passports and visas, for the cruise itinerary. Santamonica Tours and Travels will not be responsible for any issues arising from inadequate or expired travel documents.

3. Hotel Bookings:
a. Room Availability: Hotel room availability is subject to the hotel’s reservation system. In the event that a specific room type is not available, Santamonica Tours and Travels will provide an alternative room of similar or higher standard, in which there might be a variation in the price of the room.
b. Check-In and Check-Out Times: Hotel check-in time is typically in the afternoon, and check-out time is usually in the morning. Early check-in or late check-out requests are subject to availability and may incur additional charges.
c. Hotel Facilities and Services: The facilities and services provided by the hotel are subject to the hotel’s terms and conditions. Santamonica Tours and Travels will not be responsible for any issues or dissatisfaction related to the hotel’s facilities or services.

4. Travel Insurance:
a. Insurance Coverage: Travel insurance coverage is provided by the insurance company and is subject to their terms and conditions. Travelers are advised to carefully review the insurance policy and understand the coverage, exclusions, and claim procedures.
b. Insurance Claims: In the event of an insurance claim, travelers should follow the instructions provided by the insurance company and submit all required documentation promptly. Santamonica Tours and Travels will assist travelers in the claims process but will not be liable for any claim denials or delays by the insurance company.
